Finance teams regularly process transactions such as rent, depreciation, salary provisions, insurance expenses, bank charges, and other month-end adjustments. Entering these transactions manually every time can consume valuable time, create inconsistencies, and increase the risk of posting errors.
Microsoft Dynamics 365 Business Central provides two useful General Journal capabilities to simplify repetitive accounting work: Standard Journals and Recurring Journals.
While Standard Journals allow users to save and reuse journal entries, Recurring Journals retain frequently used journal lines and update posting dates based on predefined frequencies. Understanding the difference helps finance teams choose the right approach for routine accounting activities.
At Leaping Frog Solutions, we help businesses streamline their Microsoft Dynamics 365 Business Central financial processes through effective ERP configuration and implementation.
What Is a General Journal in Business Central?
A General Journal in Business Central is a worksheet-style page used to record and post financial transactions directly to the General Ledger or other relevant accounts.
It is particularly useful for transactions that are not processed through standard sales or purchase documents.
Common examples include:
- Depreciation and amortisation entries
- Salary and expense provisions
- TDS and GST adjustment entries
- Bank charges and interest
- Accruals and prepayments
- Opening balance entries
- Intercompany adjustments
- Correction and reclassification entries
Once a journal is reviewed and posted, Business Central creates the corresponding ledger entries.
However, when similar transactions need to be recorded repeatedly, entering every journal line from scratch is inefficient. This is where Standard Journals and Recurring Journals become useful.
What Are Standard Journals in Business Central?
A Standard Journal is a saved template of journal lines that users can reuse whenever similar transactions need to be posted.
Instead of entering the same accounts, descriptions, and other journal details repeatedly, users can save a set of journal lines and retrieve them whenever required.
For example, a finance team may create a Standard Journal for monthly audit fee provisions. Each month, the team can retrieve the saved journal lines, update the amount and posting date, review the entries, and post them.
Important: A Standard Journal is a reusable template, not an automatic posting process. Users must retrieve, review, and post the journal manually.
When Should You Use Standard Journals?
Standard Journals are useful when:
- Similar journal entries need to be posted periodically but not necessarily on a fixed schedule.
- Account numbers and descriptions remain consistent, but amounts change.
- Finance teams want to standardise month-end journal entries.
- Multiple users need to follow the same accounting structure.
- Repetitive adjustments need to be prepared without re-entering all the details.

How to Create a Standard Journal in Business Central
Follow these steps to save a General Journal as a reusable template:
- Open Business Central and use Tell Me search (Alt+Q) to find General Journals.
- Select the relevant journal batch.
- Enter the journal lines you want to reuse, including account numbers, document numbers, descriptions, amounts, and dimensions where applicable.
- Select the journal lines to save.
- Choose the Save as Standard Journal action.
- Enter a unique code and description for the Standard Journal.
- Select Save Amount if you want the amounts to be retained in the template.
- Confirm the action to save the Standard Journal.
If you do not select Save Amount, the account and other saved journal details can be reused without retaining the original amounts.
How to Reuse a Standard Journal
Once the Standard Journal has been saved:
- Open General Journals.
- Select the appropriate journal batch.
- Choose Get Standard Journals.
- Select the Standard Journal you want to retrieve.
- Confirm your selection to insert the saved lines into the journal.
- Review the accounts, descriptions, posting dates, dimensions, and amounts.
- Post the journal after completing the required checks.
Best practice: If amounts are saved in a Standard Journal, always verify them before posting. Provisions, TDS-related entries, and other adjustments may change from one accounting period to another.
